Copperton council sets agenda deadlines, orders written policy and moves to formalize donation-request rules

The council also resumed discussion on a donation-request policy to streamline requests for small community events and larger grants. Staff described state-auditor thresholds and recommended objective criteria, a standardized application form and, where appropriate, a funding agreement and reporting for recipients. Council members said they favored objective criteria and suggested that small recurring requests (for example, an $800 annual request from volunteer firefighters for a July 4 race) be handled using the new form and presented for a June vote; they agreed to vote on that donation at the June meeting with the request form completed in advance.
The motion to instruct staff to draft the agenda policy and to use a standardized donation-request process passed by voice vote. Council also agreed to explore SharePoint/Teams access to a live draft folder so members can review materials earlier and reduce last-minute changes.
