The Clay County Board of Education on June 18 approved a suite of vendor contracts and routine purchasing decisions for the 2026‑27 school year and authorized two change orders on a resurfacing contract.
Procurement decisions included awarding the district’s fuel contract to the incumbent Rogers Petroleum (motion by Mr. Sherrill; second by Mr. Ashworth), motor oil and antifreeze to NAPA of Livingston, propane to Southern Propane, dust‑mop and mat services to Dust‑Tex Company, and the district’s milk products contract to Dairy Farmers of America (DFA/Mayfield). Board members and staff said proximity and vendor responsiveness were deciding factors; DFA’s bid was notably lower and included equipment provision for coolers.
“Mayfield is going to lose money on my bid,” one vendor contact is quoted as having said in the packet discussion, and staff noted both major milk bidders agreed to supply coolers when needed.
The board also approved two change orders on the Rogers Group contract for a pre‑existing parking lot at Sonic: change order one addressed surface ‘alligator cracking’ discovered during work and change order two paved a walkway behind the freezers; both items were outside the original scope and were approved by motion.
Board members approved a plan to use multiple vendors for custodial supplies going forward to mitigate large projected price increases; staff explained that combining three vendors for different line items offered the lowest overall cost though it requires a bit more administrative work.
All procurement motions and the change orders passed with board approval during the meeting. Staff said they will proceed with contract execution and noted logistical items such as delivery fees, equipment provision and summer fill options for propane.
