Board approves expedited repair to middle-school heating coil to restore heat before school

The Southwestern Schools board approved an expedited repair to a failed heating coil in the middle school after district staff said the original vendor could no longer supply the part within the needed timeframe.
Roger and Jeff explained that a complete unit replacement from another vendor (Dunlap Mechanical) would take about 22 weeks and cost substantially more, while Circle R offered to build a coil with an estimated lead time of about 45 business days. "Circle R can get [it] within estimated time is 45 business days. They can... build the bar is my understanding and get it up and going," Jeff said.
Because the repair was needed before cold weather and to ensure heating for sixth-grade students, the board voted to authorize the Circle R quote (base price read in the meeting packet as $13,815 with exclusions for overtime and sales tax noted) and directed staff to proceed. Board members discussed whether to set a not-to-exceed amount but agreed to move forward and review costs at the next meeting if additional expenditures emerged.
The contract approval was framed as an emergency operational decision to avoid classroom disruption; the board instructed staff to monitor for overtime or shift-work costs and report back if expenses exceed thresholds.
