Council hears details on Microsoft licensing: staff estimates roughly $318,000 first-year cost

Hoover IT staff briefed councilors on a proposed three-year volume-licensing agreement with Microsoft that covers servers, databases, operating systems and Exchange services. Staff said the agreement is paid annually and estimated the first-year cost at roughly $314,000 to $318,000, with an annual true-up for additional licenses.
Council member Schultz pressed for details on license types and counts. Staff said the city runs about 800 G3 licenses and roughly 50 G5 licenses, with G5 seats reserved for department heads and others who need enhanced functionality. "We run approximately 800 G3s and 50 G5s," staff said in response to the council's questions.
On library coverage, staff explained that software run on city-owned hardware used by the library is included in the city's license obligations, whereas library-coalition licenses remain separate. Councilors had no substantive objections but requested clearer documentation for Monday's consent agenda so they could see the licensing breakdown and payment schedule.
Next steps: staff will prepare the licensing agreement for the June 22 consent agenda and supply a license-by-type summary and cost breakdown to the council before the meeting.
