Poseyville council approves upgrade to Boyce Cloud billing and accounting system

The Poseyville Town Council voted unanimously July 8 to adopt Boyce Cloud powered by BS&A as the town's new accounting and billing system.
Clerk-Treasurer Jodie Rankin told the council the current system is outdated and described features of the proposed cloud platform, including a customer portal for viewing current and past bills, email notices, and online payment capabilities that would deposit funds directly to the town and eliminate the need to use Pay.gov. Rankin estimated the annual service cost would increase by about $2,300 per expenditure group (General, Water, Sewer and Gas) and noted implementation is scheduled to begin in the fall; associated payments will likely span the 2025 and 2026 budget years. She said the town intends to use the Cumulative Capital Development Fund to cover the upgrade costs.
Rankin also reported an early sign-on incentive of $29,875 to convert existing data to the new cloud system, which she described as a significant factor in making the upgrade affordable. Council members discussed the number of training days included in the proposal and agreed that the town's staff likely will not need the full training allocation due to their existing technology skills.
On a motion by Mike Baehl, seconded by Randy Rankin, the council approved the upgrade by roll-call vote: Justin Rutledge (yes), Mike Baehl (yes), Randy Rankin (yes). The clerk indicated implementation would begin in the fall and that staff would follow up on training needs and timing of payments as the conversion schedule is finalized.
