Vallejos Participatory Budgeting Advisory Committee spent the latter portion of its meeting on outreach planning for PB Cycle 9, agreeing to staff recommendations for tabling at high-attendance events and reviewing application deadlines.
Staff presented an events list and asked commissioners to staff outreach tables at four June events: June 6 (Pista/idea collection), a June 12 second-Friday art walk, a second-Saturday pop-up market and Juneteenth on June 20. The committee agreed to two-hour coverage at large events and one-hour slots for shorter events.
Commissioners raised practical issues: the Doodle poll currently used to sign up volunteers needs an adjusted setting so members can see who has signed up; staff said they would investigate and make the change. Commissioner questions also covered materials and equipment. Staff said idea-collection forms are available in English and Spanish and that updated brochures are being prepared; the committee flagged the need to replace a dilapidated cardboard ballot box and asked staff to prioritize a new, weatherproof box.
On schedule, commissioners reviewed the Cycle 9 timeline included in the meeting packet: nonprofit prequalification is due Aug. 31 and the public idea-submission deadline is Sept. 20. Commissioners discussed re-engaging previous budget delegates and convening community idea-collection meetings in "Hot August" to narrow and develop projects ahead of prequalification, and staff said they had begun informal outreach to past delegates and youth groups at Jesse Bethel High School.
Staff and commissioners also discussed next steps for recruitment, translation of materials and logistics for event registration. The committee asked staff to add outreach registrations and necessary materials to a near-term action calendar so tabling and sign-ups are in place ahead of June events.
