The council’s Jacob said the event "is gonna be a collaborative event between Parks and Recreation, the police department, and the youth advisory council," describing a mix of a touch‑a‑truck display, a kids' craft area and evening music aimed at drawing a downtown crowd. The group discussed staging a family window from about 6 p.m. and shifting to teen-oriented activities later in the evening; several speakers referenced 8 p.m. as the transition time and a 9 p.m. end for some performers.
Members debated where to site the event, and the meeting co‑convener/Chair emphasized parking and foot‑traffic advantages for Parking Lot B, which was used for a concert last year. "Parking Lot B is where Sherpa is," the Chair said while explaining why the lot is centrally located and likely to bring more visitors than Central Park.
Logistics discussed included where to place the fire ladder truck and other public-safety vehicles, pedestrian circulation through a curved food‑truck area, and the need for an off‑duty police officer because the event is a permitted city activity. Police staff said they would coordinate details and noted that hiring an off‑duty officer needs to be included in the event budget.
On vendors, Parks staff listed likely options including Latin Soul (Jacksonville), Horizons (local), Dixie Fair Food and Kona Ice; members emphasized balancing variety with reasonable space for emergency access and stage set up. Jacob and others agreed to reach out to trucks and return with a short list for a future vote if needed.
Funding was a focus: Jacob reported a sponsorship from the Ritz of "around $313," and the council discussed a fundraising goal of approximately $2,500 to cover bands and incidentals. Parks & Recreation committed to cover stage arrangements; the meeting referenced a stage cost discussed previously at about $2,500. The Chair noted the group should also budget for advertising and suggested local media outreach to boost turnout so food trucks can make sales.
Next steps: Jacob and other members will contact food trucks and clarify band pricing and availability, while Parks staff will follow up on staging and police staffing. The council planned to reconvene with vendor and cost options in a subsequent meeting.
