The chair of the Commission on Inclusion confirmed that the commission’s inclusive community event, 'Ahoy Pirate Adventure,' is planned for Friday, Aug. 21 at the senior center and that Parks & Rec prepared the marketing materials.
Members noted the printed flyer listed the wrong weekday and asked for that correction. The commission agreed the event should target 5:30–7:00 p.m. to allow time for eating and crafts, though members discussed having a one-hour versus a 1.5-hour slot; they agreed to set a firm schedule and a registration cap so Parks & Rec can plan staff and supplies.
The commission reviewed layout and traffic-flow needs for table placement and accessibility; the chair asked that a facility layout be submitted to Parks & Rec in advance so staff can set up tables and accommodate attendees. Members also coordinated supplies and printables: Taryn and other volunteers will provide craft supplies and printable activities; the commission asked for the print-ready files at least two weeks before each event to allow printing on colored paper.
Food and volunteer logistics: Mike said he had not yet heard back from Twisted Tomato about food donations and offered to follow up in person. Members discussed pick-up versus delivery options and agreed the commission would set a registration deadline to provide a headcount two weeks prior to the event.
Next steps: assign a layout and finalize the flyer wording and calendar date; the chair will check with Jason regarding a draft zoning-letter task separately. The commission will revisit event logistics and confirmations at its next meeting on July 28.
