Under the new policy, staff will require requesters to use the city form; if a requester does not use the form, staff may determine the request was not properly submitted and not obligated to respond under the policy's timelines.
The resolution also includes a template for invoicing copy-retrieval costs and informed-consent forms for individuals who authorize release of private data. Staff described the package as a way to clarify timelines and reduce outstanding requests that lack required documentation.
A council member moved, seconded and the motion to adopt Resolution 25-20 carried by voice vote.
Council members did not request amendments during the meeting; the resolution gives staff authority to implement the new procedures and update internal processes accordingly.
