Lenox council approves Kyocera printer lease; city administrator reports revised Tyler Technologies hosting costs

City Administrator Allison Kitzman briefed the Lenox City Council at its Nov. 25 meeting on two vendor matters: a proposed printer lease and an update to the utility billing arrangement with Tyler Technologies.
Kitzman said Visual Edge IT offered to buy out the city’s remaining lease on the current Lanier machine, upgrade the equipment to a Kyocera model and place the city on a new 63-month lease. She said the average monthly cost under that agreement would be $197.18, with additional charges possible for copy overages. Councilmember Cruz moved to lease the Kyocera from Visual Edge IT; Hodges seconded and the motion carried on a unanimous voice vote of members present.
Kitzman also updated the council on the utility billing software contract with Tyler Technologies. She said that although the council had previously planned to host the software in-house because of dollar thresholds, Tyler Technologies approved a waiver that would allow Tyler to host the software. According to Kitzman, that change lowered the conversion fee but increased annual hosting costs; she reported a $26,019 set-up fee and $8,838 in recurring annual fees. The minutes do not record a separate vote on an amended Tyler contract at this meeting.
The council took the printer lease motion and other routine business in a brief meeting that started at 5:30 p.m. and ended at 5:45 p.m.
