Rye committee plans master-plan outreach, draft annual report and SharePoint migration

The Master Plan Implementation Committee met Jan. 6 at Rye Town Hall and agreed to produce simplified outreach materials, a draft annual report covering 2022–2023 and a February newsletter that will include voting information.
Chair John Shaw asked the group to prepare a draft annual report and “send [it] through Kim for review and comment,” and Sally Baybutt volunteered to “start work on Stroll magazine article about Master Plan” and circulate a draft by email for review. Planning & Zoning Administrator Kimberly Reed said she would contact the current newsletter editor to confirm continuity and timelines.
The committee also discussed moving its document management from Google to SharePoint to standardize records. Members raised two main concerns: keeping public access to committee documents and avoiding inadvertent quorum issues when using an externally hosted file system. Reed was tasked to “work with town administrator and town attorney to resolve SharePoint access/logistics before committee votes on migration” and to seek legal advice about the platform.
The discussion produced no formal vote. Next steps: committee members will circulate drafts for the annual report and Stroll article, and Reed will report back on newsletter status and legal/logistical options for SharePoint before the committee proceeds.
