During the June 11 Song‑Brown technical assistance webinar, prospective applicants raised a range of practical questions about eligibility, accreditation timing, payer mix and partnership arrangements — and HCAI staff provided clarifications and follow‑up instructions.
Moderator Chris read a question from an attendee identified as Carolyn asking whether an applicant can apply in multiple award categories in the same cycle. John Wynn, program officer for Song‑Brown, answered: "once you for that particular year, if you do apply for the new or new PCR with match, you are blocking, yes, your potential for expansion or existing applications that year." The presenters reiterated that applicants must choose either new/new‑with‑match funding or apply for existing/expansion slots in a single cycle.
On accreditation timing, a participant who said their program was accredited in February and starting its first class in July 2026 asked whether that would count as a new or existing program. Wynn stated that would be considered an existing program for the cycle.
Applicants asked for the per‑slot maximums; HCAI staff navigated the slides and confirmed the caps shown: existing slots and Teaching Health Centers up to $125,000 per filled first‑year slot (existing up to five slots; THC up to six), and expansion funding up to $300,000 per first‑year slot (maximum three slots).
Michelle asked whether "training side by side with FNPs and PAs" referred to students or practicing clinicians. John clarified the program is looking for practicing family nurse practitioners and physician assistants to train side by side with residents.
An attendee (Erica) asked whether providing inpatient rotations as a partnering program would strengthen an application; presenters asked to take that question offline and requested the attendee email specific details so staff could provide a tailored response.
Other operational clarifications provided during the Q&A included:
- Prior resident data will no longer pre‑populate into new applications; applicants must re‑enter historical resident and graduate data. - Payer‑mix data should reflect the last 12 months and be entered as whole numbers; HCAI will verify facility types and look up AUN (areas of unmet need) status where applicable. - Questions about allowable indirect costs (8% cap) were described as costs tied to grant administration; HCAI invited applicants to follow up by email for detailed verification.
For questions requiring more documentation or case‑specific review, HCAI asked applicants to email the Song‑Brown team (songbrown@hcai.ca.gov) or call 916‑326‑3700. Presenters noted a second technical assistance session on June 25 and encouraged applicants to use the early‑submission review on July 20.
The webinar closed with presenters thanking attendees and repeating resources available on the HCAI website, including the PCR grant guide, TA guide, allowable cost guide and the application portal.
