Hudson city staff told the council they would move forward with replacing the municipality’s current G Works software after describing recurring failures with billing, payroll and other functions. Council approved a motion to proceed with the vendor switch under terms discussed at the meeting.
Julie, the staff member handling finance and software issues, told the council she had budgeted $65,000 next year for technology and software and outlined payment options presented by the vendor, including a roughly $28,000 down payment and the balance due at go-live. Staff said Civic Systems provides tighter integration for budgeting, payroll approval workflows and customer-facing features such as auto-pay that are not functioning reliably in G Works.
Staff described practical problems with the current system’s cloud rollout, including manual workarounds for W-2 printing and monthly billing glitches that consume staff time. Council members said the productivity gains and reduced staff time spent managing G Works justified the expense despite near-term budget considerations; some members noted they would treat the purchase as a budget amendment if necessary.
The council moved and carried a motion to proceed with the vendor change under the terms discussed; members asked staff to confirm final contract terms and payment schedule before execution.
