District finance staff report grant spending, audit completion and food‑service fixes

Mr Gray, the district maintenance supervisor who presented the finance update, reported four active grants and progress on auditing and reimbursements during the Jan. 21 meeting.
Mr Gray said the ARPA summer mental health supports grant totaled $50,000 with about $1,751 remaining and expected to be fully expended in March; a primary mental health grant of $20,000 has about $15,500 remaining. He described the school mental health specialist line item as being in year two with $992,000 set aside and roughly $65,000 remaining in year‑two spend; the district anticipates year‑three support and eventual incorporation into the operating budget. Mr Gray said the school security project of about $200,000 is closed out locally and the district submitted paperwork for a $61,000 state reimbursement expected around March.
On food services, Mr Gray said the vendor corrected a problem that had stopped automated letters to families. He explained the district sends a low‑balance alert when an account falls below $10 and a negative‑balance alert for balances below $0; low‑balance notices go out on Tuesdays and negative‑balance notices on Thursdays. He added the district works with families on payment plans, sends an office letter when an account reaches a $50 negative balance and has principals follow up if not resolved. "If a family has a low balance which means they're below $10 ... then they will get one of these alerts," Mr Gray said.
Mr Gray also told the board auditors completed the independent accountants review using agreed‑upon procedures and that department budget requests for 2025–26 are in; he reminded trustees the budget workshop is scheduled for Jan. 30 at 5:00 p.m.
The report included no proposed budget actions requiring a vote at this meeting; board members asked follow‑ups about family supports and whether remaining grant dollars could fund summer programming. Mr Gray said the primary mental‑health and ARPA funds had been expended for past summer programs and no remaining balances were earmarked for additional summer academic programming.
