The Board of Finance approved moving $28,168 from a designated computer-replacement budget line to an appropriated line so IT staff can purchase replacement Dell computers, and the item will be forwarded to the RTM for final approval.
IT Manager Jeff Robelard told the board that a December quote rose substantially — he said that Dell informed staff the price had increased to about $34,000 — because DDR5 memory prices spiked and major memory suppliers have curtailed consumer packaging. Several members asked whether the town could commit to purchases while price windows remained open; staff said they would not place orders without appropriation and RTM authorization but could explore holds or limited commitments with vendors. The board discussed whether to appropriate an increased contingency amount to accommodate volatility, and staff said they would request a larger amount in the follow-on request so they would only need to return once.
Board members noted the short validity of quotes (one example: a quote valid nine days) and the RTM schedule that can delay purchasing; staff said special meetings could be called to expedite approvals if needed.
The motion to appropriate $28,168 passed on a voice vote. Staff will return with updated quotes and any follow-on request including a contingency to cover expected price movements.
