Hideout delays AI policy adoption, staff to align policy with records and document-management systems

The Hideout Town Council reviewed a proposed artificial intelligence policy meant to govern municipal AI use, data protections and accountability. While members supported governance, several expressed concern that operational capacity — records management, acceptable-use controls and an enterprise ‘boxed’ AI deployment — must be established before the policy can be enforced.
The draft policy would prohibit use of PII with AI tools and encourage the town to procure commercial/enterprise AI accounts that keep town data segregated and controlled. Speakers cautioned that individual staff using free, public AI accounts creates uncontrolled exposure: one councilor said the town should purchase and operate an enterprise account so the town can legally restrict training and keep data within a closed environment.
Members requested a suite of operational steps be completed before adoption, including a records/document-management system, a vetted list of approved AI applications, retention guidelines and staff training; the motion to table included direction to invite state or regional experts (e.g., the state’s head of data and AI) to brief the council. The council voted to table the policy for revision and additional operational planning.
