Hebron council weighs replacing typed minutes with meeting videos, debates using AI summaries

Mayor Valerie Mockus proposed at the May 21 committee meeting that the village transition from Clerk-typed meeting minutes to using the online meeting videos as the official record, and asked whether the village should also provide AI-generated summaries alongside the videos.
Clerk of Council Christina Furbee provided copies of AI-generated summaries from two previous meetings for Council to review. Councilmember Andrea Chapman said "some parts of the summaries are vague, and some are a bit misconstrued," and expressed opposition to using AI summaries as the official written record. Annelle Porter suggested a "3-4 month trial period" for any new approach.
Councilmember Jerry Carpenter expressed concern about long-term preservation and control of the records, noting the village is not the creator of third-party platforms. Mrs. Furbee said videos can be backed up on the village server or an external hard drive. Mayor Mockus said the village would include a notice if it posts AI-generated summaries: "these are AI generated and the accuracy may not be completely accurate." Chapman summarized her position as "yes to using video, but no to the AI summary," while Mayor Mockus said video is a more objective and inclusive record than selectively edited written minutes.
No formal vote was taken; the discussion ended with the Council expressing interest in preserving the video files and considering a trial period for changes to minutes and summaries.
