The Southside Fire Station building committee was told June 30 that the project’s low bidder has been issued a notice to proceed and is set to begin mobilization on Monday, July 6, 2026. Project manager Chris said the contract sets a substantial completion date of Sept. 6, 2027 and a final completion date of Nov. 5, 2027.
The committee confirmed those dates during the meeting. Chris said most subcontract scopes are covered under the general contract, but the HVAC package has been rebid: prequalified subcontractors were notified and sub-bids are due July 8, 2026 at 2 p.m. The project team will review those submissions and incorporate the HVAC award into the contract allowances if required.
Staff also briefed the committee on monthly project tracking documents. The FF&E (furniture, fixtures and equipment) spreadsheet showed no changes this month and will be updated once the contractor begins purchasing equipment; staff said they will provide monthly highlights of material changes. Finance staff reported no budget changes for the month.
Committee members and staff agreed to adjust the committee’s meeting cadence to align with the town’s payment and warrant schedule so vendor payment applications can be processed promptly for the contractor. Staff proposed meeting on the second Tuesday of the month beginning Aug. 11, 2026, with a follow-up meeting tentatively set for Sept. 8, 2026; staff will confirm the finance warrant schedule and circulate a project payment calendar.
The meeting closed with staff noting mobilization activities will begin after the notice to proceed, and that exact site take possession will be confirmed once the contractor is on site.
