Commissioners reviewed quotes for two signs: one wooden front sign priced at $228 and a smaller front-door sign quoted at $41.58, with installation estimated at $50. A commissioner moved to allow staff to proceed with ordering and installing the signs to identify both the Berlin Senior Center and the Parks Facilities Office; the motion was seconded and the commission approved the action.
On rental procedures, staff outlined current practice: campsites require no deposit, while shelter houses carry a $100 deposit that is refunded unless damage occurs. Staff said both reservation vendors could support either an upfront $100 deposit return flow or an alternative using card holds or a waiver checkbox and that the online systems would enable debit/credit-card transactions.
Commissioners discussed removing the $100 deposit in favor of holding a card on file — a model similar to hotel holds — or retaining deposits with clearer cancellation terms. Staff and vendors noted systems can present waiver/check-box language and store payment credentials; staff said the commission does not currently accept credit cards for in-person bookings.
No immediate change to deposit policy was adopted at the meeting. Members asked staff to develop recommended language and options for the commission to consider next month. Any policy changes were discussed to take effect for the next season, with January 1 mentioned as the likely implementation date if approved.
