They argued the forums should be framed as accessible learning and discussion sessions and emphasized that “awareness needs to come before engagement,” a point Kavanagh raised while outlining messaging and audience strategies.
Members discussed practical design choices and channels to reach residents: using the town’s Bridge newsletter for short committee blurbs, the town podcast, neighborhood-level sharing, and personal networks. Several members stressed lowering the time commitment required of residents and offering concise, repeatable messaging so potential participants can become familiar enough to engage. Beth Crom and others noted many residents do not read the Bridge or the town website and recommended short, shareable summaries and targeted invitations.
The committee also debated coordination with other town committees and staff. Paul suggested inviting committee chairs or staff to brief the group on specific projects when useful; Elizabeth Hughes of the planning division warned about inaccuracies in outside reporting and recommended the committee write its own explanatory pieces for the Bridge to avoid misinterpretation of technical housing figures.
Members identified several near-term priorities to seed the forums, including the MCI planning process, housing developments (including upcoming 240B comprehensive-permit filings), and traffic/transportation impacts from multiple projects. Elizabeth said building permits for a set of 240B units are expected in July and that the town’s comprehensive-permit share would rise above 16 percent once projects break ground, stressing the need for clear public information about the scale and timing of those projects.
Members proposed an early forum topic listing major projects that will shape West Conquer over the next decade and suggested inviting leaders from bodies such as the municipal housing trust and relevant department staff. The committee set no formal timeline for hosting a first forum but agreed to continue refining the outreach plan and to consider low-effort steps such as submitting a recurring Bridge blurb explaining committee purpose and meeting participation options.
The meeting closed with a plan to revisit liaison assignments next session and to circulate background materials for prioritized topics.
