The 608 Subcommittee on the Reindeer Run on June 18 approved new sponsorship categories and advanced logistics for the annual 5K and family event.
The committee voted to add item-specific sponsorship tiers — medal sponsor, bag sponsor, shirt sponsor, marching band sponsor and warm-up sponsor — after members argued those options would expand revenue opportunities beyond traditional tiered donations. “So, that motion is to add those new levels of sponsorship,” the chair said when calling the motion, which Judy moved and Vi Hill seconded; members voted in favor.
Why it matters: the change lets organizers sell naming or placement rights tied to event pieces (for example, a medal sponsor’s logo woven into the medal strap) rather than only selling a single title-level package. Committee members said that approach helped attract cash or in-kind support last year (Safeguard sponsored participant bags) and can be easier for small, local sponsors to buy into.
Planning and costs: members agreed to order shirts earlier than in prior years to reduce procurement costs and design time. The group discussed increasing the shirt order from the usual 600 to about 700 to avoid size shortages. Past production figures cited during the meeting included roughly $4,000 for medals and about $4,000 for shirts; other line items discussed included a $1,500 marching band sponsorship and an $800 DJ fee that some members called higher than expected. Members also talked about rotating sponsor placement on medals and bags and about keeping a separate deadline for shirt logos so late sponsors still appear on other materials.
Other business: the committee reviewed subcommittee reports — including a plan to sponsor a chamber fishing tournament next year — and noted a pending municipal-level issue: the county military affairs board will hold a special-call meeting to consider allowing military banners on Northwest 67th, after which it would draft a letter to county leadership. The committee also scheduled a monument subcommittee meeting for Aug. 6 (5:45 p.m. start to allow a 6 p.m. regular meeting slot) and asked that Olivia, the staff member who handles grants, attend to update the group on a federal grant application.
Procedural notes: the committee approved the May meeting minutes by motion and then completed the agenda; no public comments were received online. A staff member announced they are leaving to pursue a PhD at the University of Tennessee; colleagues offered congratulations. The meeting adjourned at about 6:30 p.m.
What’s next: organizers will finalize the sponsorship packages, set a hard cut-off date for shirt logos and begin early ordering to realize savings.
