A motion was made to approve the January minutes, but Lynne Venziale objected, saying the association has not produced financials since October. David Blair explained that there were technical/report issues and that the numbers had to be tabled for now.
Kevin from ACV Management told the group that names and addresses did not import properly into the new billing system and that Tiffany from H&S is working with ACV to provide correct information. Kevin said ACV covered the errors affecting Tier 1 members "so no additional cost to the association." He walked through system screens and also reviewed payment plan due dates and the option to set up autopay.
Carol Weldon asked about credits that had not posted; Kevin said he is working with H&S to get those corrected. Kevin also explained that mailed ballots and payments were opened individually, which affected how bylaw-change votes were processed.
No formal votes on financial reporting or vendor contracts were recorded at the meeting; attendees asked for corrected financial reports and follow‑up on outstanding credits.
