Parks and Recreation sets Oktoberfest date, coordinates cemetery tour and supplies

Committee member (S1) noted the committee has established October 18 as the date for Oktoberfest; members agreed to begin vendor outreach and to put vendor signups on the MyRec registration system.

Mildred Merced (S4) said Pat Littlefield from the historical society would lead the cemetery committee’s tour planning and suggested coordinating the cemetery tour on the same day so Oktoberfest visitors could attend both events. Committee members raised concerns that volunteers staffing vendor booths might miss parts of the tour; they proposed recruiting extra volunteers so vendors can cover booths and still attend the cemetery walk.

S3 addressed event budget and supplies but did not provide an unambiguous line-item total during the meeting. S3 stated, “So we have 1000 75 budgeted for Oktoberfest for all our supplies and the band,” and added that she would check her detailed notes at home and send members the itemized amounts. Because the number in the meeting record is unclear, committee members agreed S3 would verify the exact line-item amounts and share those details later.

On activities, S3 said the committee expects to order about 100 pumpkins for the festival after the small supply last year; members discussed working with local vendors (S3 mentioned contacting Andy’s/Harris Farm and another pumpkin provider) and possibly requesting donated pumpkins. They also agreed not to run the scarecrow activity concurrently with Oktoberfest because leftover scarecrows from the prior year created logistical burdens, but they will consider a separate scarecrow event.

Next steps: the cemetery committee will schedule planning meetings (S1 asked to be added to distribution lists), S3 will verify budget itemization and vendor contract paperwork, and members will begin advertising and vendor signups through MyRec.
