The commission discussed final preparations for a spring pop‑up event and agreed on next steps to secure vendors, food trucks and performers. The chair asked members to coordinate vendor outreach and finalize the registration page; staff and volunteers agreed to produce the vendor map and to order a porta‑john for the event.
“We were gonna look at May 2. Does anybody already have something that weekend on the council?” the chair asked, and members agreed May 2 would work and discussed event hours around 10 a.m.–3 p.m. A staff member reported at least one barbecue truck is tentatively available for Oct. 18 and that vendors often book months in advance, so outreach should begin immediately.
Members reported roughly 23–24 vendor spaces, including a regular vendor (Felicia) who is frequently mobile. The Walkersville High School marching band was proposed to perform; members said they would confirm the number of students and whether the school would approve any special entrance (for example, arriving on a train car), noting school approval is required.
Logistics under discussion included site layout (cones, trash cans), stage placement for performers, traffic control (to be finalized closer to the event), additional porta‑johns and use of the town electronic sign to notify motorists. Commissioners reviewed available roadside signs (five) and proposed placing them at the train station, the Biggs Ford intersection, near Sheetz/Walkersville sign, Devilbiss Bridge and the library. Volunteers claimed specific placements and agreed to install the signs ahead of the event.
No votes or formal contract awards were recorded during the meeting. The commission set outreach actions: staff to prepare a registration page and a vendor map, and volunteers to place signage and follow up with the band instructor.
