Village board gives tentative approval to Jumbotron use agreement, requires insurance and attorney review

The Village Board tentatively approved a template agreement to loan the village-owned Jumbotron to outside users, conditioning final approval on proof of insurance, explicit coverage of village costs and attorney review, board members said during their April 2 meeting.

“We just wanted to have something physical in writing… and if something happened,” a committee member said, pressing for insurance and clarity on responsibility for damage. The board heard that the Jumbotron was purchased for about $50,000 and that a $4,000 donation related to rental discussions had been offered by the celebrations committee.

Staff described the draft as a general template to be used on a case-by-case basis and said technical and transport logistics would be handled by public works. Board members and staff discussed possible renters and uses, including a request from a local business that wants to show World Cup matches and other events outdoors. One staff member said the village should ensure that “all village costs are covered” and that any transport or staff time be accounted for.

The motion the board approved allows staff to advance the agreement to a signature-ready draft subject to attorney review and requires that the board receive a final version at its May meeting. The motion includes these explicit conditions: proof of insurance, final terms for usage, coverage of all village costs and final attorney review. The board approved the motion by voice vote.

The village did not set a rental schedule or final price at the meeting; members said those details will be added on a case-by-case basis and returned to the board for final approval.
