Village of Big Bend approves TechJoy IT plan to replace workstations and migrate to Microsoft 365

The Village of Big Bend board voted to approve an IT infrastructure assessment from TechJoy that calls for phased replacement of 12 noncompliant workstations, upgrades from Windows 10 to Windows 11 on select machines, and a migration of on-premises server functions to Microsoft 365 cloud services.

Trustee 6 introduced the TechJoy recommendations, and TechJoy’s presenter — identified in the meeting as Chief Jamie’s IT contact — described a phased approach so departments are migrated one at a time. TechJoy recommended moving file shares to SharePoint and adopting per-user Microsoft 365 licenses; the presenter said the licensing cost was “pretty easy per month,” roughly $25 per user, and that the vendor would provide one-on-one training and documentation for staff.

“Instead of the $25.25 dollars a month…we’ll spend time…planning to spend time here as well, one on one with people,” the presenter said during the discussion about training and implementation.

Board members asked whether the on-site server provided other services beyond domain control; TechJoy confirmed file-sharing and other services would be migrated to the cloud. The assessment recommends lifecycle replacement of hardware on a roughly five-year schedule to restore supportability and security updates.

A motion to approve the assessment and associated action items was made and carried. The board did not specify the exact capital line or dollar amount to be spent at the meeting; trustees discussed using funds available in the capital expenditures account to phase the purchases.

The board’s next step is implementation planning with TechJoy, including a schedule for department-by-department rollout, user training, and a timeline for migrating file shares to SharePoint.
