Clerk/Treasurer Stephanie Waala asked the committees to identify specific volunteer tasks and to create a volunteer sign-up sheet; Co-Chairman Rachel Fuller said the group would return to that item while laying out project timelines. Waala said the request to create timelines came after an application for use of both Memorial Park and Jacoby Memorial Park for a July event.
The committee assigned specific outreach and fundraising tasks for Library Bay. Waala was assigned to create a dedicated page on the village website with a button on the main home page, to provide pictures and a link to the Beautification page, and to meet with Collins State Bank about collecting donations. Co-Chairman Rachel Fuller was assigned to prepare social media graphics and create QR codes. Kelly was asked to obtain drone photos of the bay. Erik Buchelt was to set up a free online donation service (Zeffy) and to create lake “thermometers” to track fundraising progress. Duane Urbanski was assigned to contact Gary about advertising opportunities.
Committee members did not vote or adopt formal policies on fundraising or park rentals at the meeting; rather, they assigned tasks and agreed to follow up with railroad officials and with Eric Rathke to resolve July-event logistics. The groups also discussed making printed maps available for walking patrons and whether businesses would distribute them.
What happens next: staff and assigned members will complete their tasks to support Library Bay outreach, the committee will develop timelines for park use ahead of July, and the Village Board will review related Chamber collaboration items at its next meeting.
