The moderator outlined a proposal to publish a Google form on the city website that would feed responses into Asana so council and staff could sort issues by ward, address and topic. "It would just be the Google form like I mentioned, and then it would feed into Asana," the moderator said. The form would include fields such as reporter name, address, first and last contact and a resolution column so the city can document how each issue is handled.
Members pressed for clarity on who would manage the system and how ward representatives would receive notice. "Will the board representative get a notification if it's someone in their ward?" a councilor asked. Options discussed included office staff monitoring the feed and automatic notifications to the relevant ward representative to ensure double coverage and prompt follow-up.
Councilors recommended building a notification feature so residents receive updates when their case changes, and suggested producing periodic rollups of resolved items (one councilor suggested six-month intervals) to show what the city has addressed. Funding or software costs were not finalized; members also discussed allowing city staff access for operational follow-up.
No formal motion or vote was recorded; the council directed staff to draft the system and begin implementation work.
