Staff described a months-long evaluation that demoed roughly 20 vendors and solicited seven proposals; UKG Ready was selected as a full suite covering recruiting, onboarding, benefits, a learning-management module and integrated payroll. The first-year cost presented was $32,541.60 for annual licensing plus a one-time implementation fee of $7,027, for a total of $39,568.60 in year one, with years two through five locked under the proposed contract terms.
Staff acknowledged the total exceeded the 2025 line-item budget of $15,900 but said savings from position vacancies and other adjustments (copier and supply savings) make the contract manageable. The council approved the purchase and asked staff to manage budget adjustments and report on implementation steps.
Staff said the system includes optional tools (some AI-assisted phrasing tools for review templates and learning modules) and that municipalities often face annual software price increases; securing multi-year pricing was presented as a budgetary advantage.
