Medora’s town council voted to buy new accounting software from Rubin Cummins and adopted an ordinance that establishes internal control standards for town finances.
During the meeting the council discussed vendor pricing and maintenance. A council participant (S4) said the vendor reduced its first-year cost to $2,700 and that ongoing maintenance would be $1,800 a year. “The the cost for the 1st year was going to be $5,400, but he was gonna cut that back to $2,700. And then each additional year, it would cost us $1,800 per year for the maintenance and support,” S4 said. After members confirmed Janice had reviewed the options, the council moved and voiced approval for the purchase.
The council also completed the second reading and adopted Ordinance 2025-4, described by the chair (S1) as “an ordinance establishing internal control standards and establishing a materiality threshold.” A motion to adopt was made and seconded and the chair indicated the ordinance will be signed following the vote.
The measures are intended to standardize financial controls and replace a mix of ad hoc practices with a recorded policy and vendor-supported accounting tools. Council members did not record a roll-call vote in the meeting transcript; the approvals were taken by voice and recorded as ayes.
The council placed both items on the record and will proceed with vendor onboarding for the software and the formal signing of the ordinance at a subsequent administrative step.
