Logistics confirmed at the meeting included train rides scheduled twice on Saturday and once on Sunday, restroom and trash arrangements, golf-cart availability, and stage management. Jennifer said Tim will serve as the stage manager and will announce sponsors from the stage.
The group discussed physical accommodations for visitors and staff: participants suggested adding benches along Main Street and in the library yard to provide seating near food vendors, and a hospitality tent will remain available for families and workers. On volunteer scheduling and pre-festival work, attendees agreed to a build-a-box night likely set for Saturday, Sept. 20, pending coordination with Luke and other volunteers. During the meeting, the moderator moved to authorize spending to purchase food for law-enforcement and on-site workers; the motion was seconded and carried by voice vote. The group recorded an affirmative voice vote and proceeded without recorded opposition.
