Residents report incorrect tax notices; clerk cites import errors between village system and tax agency

Several residents told the council they received letters from Rita saying they owed city taxes; they said when they called the office they were told the notices resulted from an error.
Resident Tanya Connie said multiple neighbors — including herself — received letters and that callers were told the notices were a mistake. “I’ve gotten one,” she said. “They said they called up here and was told it was a mistake.”
The clerk responded that the issue stems from an export/import between the village’s Gassy tax records and Rita’s system. The clerk said the problem mostly affects tax years 2022–2023 and results from records that were either not entered into Gassy or did not import during the transfer. She said she has reconciled about 60 accounts and is working to correct roughly 72 individual returns using form 9 and form 11 submissions.
The clerk explained that many historical payments were cash and lacked receipts, which complicates reconciliation, and that residents who have copies of their tax returns have been able to get issues fixed quickly. She offered to set appointment times for residents who continue to have questions so staff can review their records together.
Council members and staff encouraged residents with notices to contact Rita and to set a meeting with village staff so the records can be reviewed and corrected where appropriate. The council did not take a formal vote on this item; staff will continue reconciling records and producing quarterly reconciliations for council review.
