White Lake advisory board approves bylaws name change, adds Zoom voting option and greenlights Oct. 18 scavenger hunt

At its Aug. 28, 2025 meeting the White Lake Recreation Advisory Board voted to adopt a recommended change to its bylaws to set the official name as the "White Lake Recreation Advisory Board" and to include language providing a Zoom option that allows virtual attendance to count toward quorum and permits voting by remote participants. The amendment was passed by the Advisory Board and will be forwarded to the Town Board of Commissioners for final approval, as required by the bylaws.
Vice-Chairperson Sandy Ammons moved to accept the July 24, 2025 minutes and the motion passed unanimously. Ed McLean moved and S. Ammons seconded the motion to approve the initial bylaws wording; the board later voted to retract the original language and replace it with the specific Zoom provision: "Members are requested to attend face-to-face meetings. A Zoom option will be provided giving voting rights and enabling a quorum by virtual attendance." The board carried that change unanimously and will submit the recommendation to the Town Board as the next step.
Under new business the board approved a motion by Committee Member Cathy Kinlaw, seconded by Sandy Ammons, to partner with White Lake Friends to host a scavenger hunt on Oct. 18, 2025. Chairperson Erin Seiling also proposed an ongoing monthly program called "Second Saturdays" to sponsor rotating activities through 2026; Town Administrator Sean Martin reminded members that individual activities may require Town Board approval and noted the advisory board currently has no allocated budget for programming unless the Town Board provides funding.
The board directed staff and members to continue informal planning (texts, emails, Google Docs, Zoom) but emphasized that any resulting plans must be brought to a regular meeting and formally submitted to the Town Board for approval. With no further business, the board voted unanimously to adjourn.
The bylaws draft in the meeting packet also lists membership rules (seven appointed members, two-year terms), attendance and quorum rules, monthly meeting cadence, and officer duties (chair, vice-chair, secretary).
