Members of the Halifax Finance Committee on June 29 pushed for faster posting of meeting minutes and considered using Zoom transcripts and AI summarization to ease the workload on the town—lerk/minute taker.
"I've noticed that...our minutes are delayed by sometimes months being posted to the town website," said Rod (committee member), who proposed exploring tools that could speed dissemination. Another member suggested taking the full transcript and running it through AI to generate a summary for human review.
Cesar, who handles the town's Zoom recordings, cautioned that automated speaker identification ties to display names and "is not 100% accurate," especially for in-person meetings where the system may identify the group as a single speaker. He said he is working to upload approved minutes and transcripts and expected to have the backlog posted before July 1.
Committee members agreed that any automated product still needs human review; the goal expressed repeatedly was to reduce the time burden on the paid minute taker while ensuring accuracy and transparency for the public record.
The committee did not adopt a formal policy at the June 29 meeting but asked staff to circulate examples of transcript/AI outputs and to proceed cautiously with human review in the loop.
