At its July 9 meeting the Indian Head Park Village Board approved a package of contracts, task orders and fee changes the village said will support police operations, water infrastructure, road maintenance and routine services.
Police technology and equipment: The board approved Resolution 2026-20 to move police evidence to a cloud-based digital management system from Motorola Solutions after staff said the village's on-premises server was nearing capacity and that the cloud system meets FBI security standards and includes redaction tools. A staff presenter said the vendor's system "works specifically with what we have" and that deployment could begin July 27. There is a transcript inconsistency about the price: the procurement packet text read "$4,049,000" while another meeting speaker read the figure as "$49,000"; staff said the specific packet page contains the cost and pledged to confirm the correct contract amount.
The board also approved Resolution 2026-21 to purchase seven permanently installed Motorola mobile radios for squad cars to improve coverage and interoperability; staff said officers have requested mobile radios for years.
Infrastructure and services: The board approved a task order (26-01) with Strand Associates Inc. for design and permitting on the Blackhawk Trail water main replacement project; staff cited the village's IEPA financing plan and provided not-to-exceed figures for design ($120,800), construction-related services ($122,900) and a $13,600 contingency. The Village authorized a task order with Thomas Engineering to proceed with the 2027 road program, including mill-and-overlay work in the Ashbrook subdivision (expected milling depth about 2 to 3.5 inches, dependent on base integrity) and other road-edge and patching work; staff said the village will continue to seek IEPA funding but will use capital funds to proceed this construction season.
The board awarded a one-year janitorial services contract to Multi System Management Company after staff said MMC provided the best overall value; the presentation cited an annual contract amount of $15,600 and estimated savings of $2,544 compared with current costs.
Fees and collections: Trustees approved an amended vehicle sticker late-fee schedule designed to be prorated monthly and to be fairer to mid-season buyers; staff said the change applies a 30-day prorated rule for new and existing residents and estimated prior-year late-fee revenue at about $14,364.76 (unofficial). Staff also described plans to use Secretary of State records and a collections vendor to improve compliance.
Votes at a glance: the record shows these items passed by roll call; where the board recorded numeric limits or costs, staff provided not-to-exceed amounts or packet citations and said implementation steps (migration date, construction timing or contract start dates) will follow. Where the transcript contained discordant cost figures, staff said they would confirm the correct amounts in the procurement record and packet.
