Town staff told the council that creating and uploading town-produced Zoom and video recordings is taking staff time away from clearing a backlog of meeting minutes and documents.
The staff member outlined the multi-step process: someone records and uploads video, staff must then post the file to the website and ensure it plays, which can take one to two hours per recording. “They have to post it so many days ... it takes hours to upload the video,” staff said as part of the presentation.
To reduce the backlog, the staff member recommended pausing the production or posting of new town-produced recordings temporarily so the office could catch up on minutes. Members of the council and other participants volunteered to help: several members offered to draft minutes, collect files, and recruit interns from UVA and Longwood to support administrative work.
Councilors asked for a triage plan to identify immediate priorities—tax collection and payroll documentation were repeatedly cited as higher priority than video posting. Several members urged the town to accept offers of volunteer help and to consider temporary paid or unpaid interns to update the website and post documents until staffing can be restored.
What happens next: staff will prioritize minute drafting and the council accepted offers to recruit volunteers and interns for short-term support; the video-upload pause will be revisited when the backlog is reduced or staffing levels allow.
