The Londonderry Library financial ad hoc committee discussed missing deposit slips for its Citizens Bank account on July 8 after staff called the bank and reportedly received a refusal to search without current matching signatories. The chair said the bank representative said "absolutely not" when asked about locating the slips and that the committee will meet with a bank representative to obtain a written statement for the board.
The chair told the committee she arranged an appointment with a bank contact (named Matt in discussion) the following day to request a letter the committee can use to document the bank's position. The letter will be shared with trustees and used to determine next steps, including documenting the items as lost and assessing internal controls related to a checkbook and a missing register that were discussed at the meeting.
Committee members noted the bank's limits on returning physical items when signatories no longer match current records and said that some items (such as voided checks) may need to be obtained or accounted for via internal records or from the former treasurer. The committee agreed that if the bank will not provide the items, the board must document the loss in the minutes or a memo to avoid later liability concerns.
