Staff reports budget position, event cancellations and PlayEasy subscription status

City staff presented the Sports and Events Authority's year‑to‑date financials and a set of event evaluations, and informed the board of canceled events and the current status of the PlayEasy marketing subscription.
A staff member told the board that, as of the YTD July 1 report, checks written total $113,950 and the current available budgeted balance is $75,240. Staff also said collections submitted in June for May records totaled $26,796 and noted room‑night metrics reported in the packet. "That gives a $114,777 of the total... that accounts for 57,389 room nights," the staff member said while summarizing the packet figures.
The staff review included event evaluation summaries: the DW Culver's Girls and Boys High School Basketball Classic exceeded expectations (36 teams, about 75 room nights), the South Dakota VFW convention had about 185 attendees and 325 room nights, and Corn Belt team camps reported high participation across multiple weeks. The staff member also told the board that the American Outlaw wrestling event was canceled for lack of registration and that the awarded $2,000 will be returned to the SEA's available balance.
Regarding PlayEasy, staff said the board did not motion or authorize funding to continue the subscription; the authority will keep existing event microsites and QR codes through 2026 but has not committed to a renewal. Staff noted several upcoming events, including a state baseball tournament next weekend at Drake Field and state amateur baseball in August.
The report was followed later by funding votes on specific grant requests. The board moved into executive session during the meeting and later reconvened to take action on grant applications.
