Town staff presented the town’s records retention and disposal schedule and recommended council approval. Mandy reviewed the schedule, said it is required by the state of Maryland, and reported that no retention periods were changed from the previous schedule.
"What you have in front of you, is the records, retention and disposal schedule. This nothing has been changed on this, from the last time," Mandy said, noting the schedule allows transfer of permanent files to the state archive and establishes when nonpermanent matters may be destroyed.
A council member moved to approve the records management program for the Town of Union Bridge; the motion was seconded and the council approved the schedule by voice vote.
Why it matters: adopting an updated retention schedule keeps the town in compliance with state requirements and clarifies which records can be transferred to the state archive and which may be destroyed after set retention periods.
What’s next: staff indicated no additional steps were necessary to file the schedule with the state at this time.
