Town manager reports software rollout, sewer repairs and Town Hall progress

Town Manager Mike Majher updated Stephens City Council on multiple operational projects at the June 2 meeting, including an accounting software transition, infrastructure repairs and progress at the new Town Hall site.

Majher said the town is transitioning to new accounting software from RDA; training and data migration are in progress and the ledger and payroll portions of the system are scheduled to go live on July 1. He said utility billing will convert later with a goal of processing the August billing cycle on the new software. Majher also reported that staff is migrating data to a new server and addressing network irregularities experienced over the past month.

On infrastructure, Majher said sewer repair work on Germain Street near the south end by Capon Valley Bank is moving forward. Town staff and contractor JLC have coordinated with VDOT and have received the go‑ahead; the project is awaiting materials and the town will post flyers for affected property owners about potential traffic or road closures.

Regarding the old school/new Town Hall renovation, Majher said low‑voltage electrical work is underway, drywall installation was delayed for additional electrical work and a required pressurization and inspection of a modified sprinkler line, and a VDOT permit is being pursued for a front hydrant connection. Requests for bids are being solicited for grading and paving the school's parking lot, with preliminary drawings available for bidders and a request for funds expected at a future council meeting. Finally, Majher said Kee Construction is seeking an alternative manufacturer to complete an accordion‑style divider door that the original vendor cannot finish.

Majher did not provide dollar amounts for the software contract, sewer repair or parking lot work during his report; those details are expected in follow-up procurement materials.
