The Portola Valley Cultural Arts Committee discussed timing and logistics for its major events, tentatively scheduling windows and identifying volunteer needs while noting that final plans depend on the committee's confirmed budget.
Committee members outlined four flagship items for the coming year: a Portola Valley photo contest and exhibit; two speaker events (one in the fall and one in the spring); a youth creative fair to be held in a low season (January'February); and a limerick contest timed around St. Patrick's Day.
"My hope was to do, like, a two-hour block on multiple days at the library so people could come and pick up [their photos]," a committee member (Stacy) said, asking for volunteers to staff photo pickup during the week of August 3. Members offered to divide shifts and coordinate offline.
The committee debated whether to hold youth-focused events in the fall or spring to maximize teacher engagement. Several members recommended avoiding summer dates because of reduced youth participation and suggested the photo contest run either mid-October to mid-November or mid-April to mid-May; the limerick contest was discussed to start in late February and conclude around March 17.
Members also noted program components that could be scaled back if the budget is reduced, such as workshops tied to the photo contest. The chair said she will finalize dates after confirming the committee's funding level with town finance staff.
Separately, the committee asked the town for technical training to improve the remote meeting connection process and discussed appointing a volunteer or outsourcing the role of meeting technical lead.
