Hamilton County IT staff told the ISSD Board on April 21 that they are expanding DocuSign use across county operations and accelerating a contract renewal that must be completed before the end of the month.
Chris Mertens and Project Manager Heather Bennett outlined use cases: Human Resources has used DocuSign with Workday for new employee signatures and needs additional envelopes for employee‑handbook acknowledgments; Assessor Kevin Poore described plans to use DocuSign for appeal settlement agreements to streamline taxpayer interactions. Bennett said she has been coordinating contract terms with DocuSign and the county’s legal team so the renewal can proceed on an expedited schedule.
Commissioner Christine Altman raised concerns about ensuring documents originate within county systems and receive appropriate internal review before signature. Mertens said a DocuSign policy draft had been sent to the Legal Department to address document origin and review controls. The board assigned follow‑up to Legal, Mertens and CISO Timothy Renick to finalize the policy.
Next steps: finalize the DocuSign policy with Legal to define document origin, review processes and envelope controls prior to contract renewal and broader deployment.
