The committee considered a purchasing communication to migrate MHC NorthStar AP to the cloud with MHC Software LLC in an amount not to exceed $145,000, funded from the Technology Maintenance Fund. Nick Marcevich (MHC presenter/IT) said MHC credited prior payments, making the effective multi-year cost lower: the first year cost is "a little over $6,600," with $45,000 in year two and $45,000 in year three, and the vendor provided the first year for free as part of the credit.
Marcevich said moving to the cloud will enable multi-factor authentication and support a paperless workflow for payroll, purchase orders, and vendor payments. After the vote, the mayor noted the city's proposed budget consolidates IT with the school department; Marcevich confirmed consolidation has begun and staff are pleased with improvements to security and savings.
The committee approved the migration contract by roll-call vote as presented in the purchasing communication; members also discussed IT consolidation as part of the broader budget proposal.
