"We are requesting $26,795 to repair those and bring those up to date," the Police Department representative said.
A board member moved to approve an agreement with Trane for HVAC repairs in the amount of $26,795, and the motion passed by voice vote.
Later in the same discussion a board member restated a motion to approve the agreement with Trane and to give Captain Snyder permission to sign; the restated motion, as spoken on the record, included a different amount: "$2,026,795." That restated motion also passed by voice vote. The transcript does not record an on-the-record correction, amendment, or reconciliation between the two numeric amounts.
The board should verify the contract dollar figure and the official minutes for any clerical or transcription errors before executing payments or publishing an itemized contract amount.
