"We have some grant money left over. It's about $900 that we can use for community engagement," Police Chief Nesbitt said, describing the grant funds that could support the picnic. Campfield said the town’s community-events line has $30,000 in the 2026 budget but many events were canceled and staff requested direction on whether to move forward with the annual picnic.
Council members explored options to reduce costs — serving light refreshments or desserts rather than a full meal, soliciting volunteer support for tents and chairs, using town grills and volunteer cooks, and limiting rentals that are expensive (tables, chairs, tents). Participants cited the town’s historic peak of about 270 meals at prior picnics as a planning reference.
Council members agreed verbally to a modest plan and voted by verbal assent to match the $900 police grant with up to $900 from the community-events budget to provide a modest buffer for food, supplies and limited rentals. Campfield and Chief Nesbitt will coordinate logistics; Chief Nesbitt said the department could help provide grill support.
Council members also discussed moving the picnic timing in future years but kept the Aug.15 date for 2026 because it had been advertised; several members supported the idea of a smaller event focused on community engagement and lower-cost activities for children.
Next steps include staff preparing public notices (including the rain date) and a communications plan; Campfield will execute the planning and ensure a notice about a possible quorum is posted for picnic-related meetings.
