District says many student digital privacy agreements must be renewed after simultaneous expirations

Staff explained that the shift to online learning during the pandemic led to a large number of student digital privacy agreements (DPAs) being deployed in a short window, and as a result many of those agreements share similar expiration dates. "We had a June 25 or 2025 expiry date for darn near all of the ones that we had," the staff member said, describing a cluster of renewals the district now must process.
The staff member said many of the DPAs are effectively "carbon copies" differing mainly by vendor name and that the district is both an originator of some agreements and a "subscribing member" on others generated by different districts. "We're just basically tagging ourselves onto Exhibit A for a digital privacy agreement that another district already generated," the staff member explained.
When asked whether the agreements carry fees, the staff member said, "These are completely a 100% privacy agreements to acknowledge the law. There's 0 cost on this one," adding that the documents are formalized records the district keeps in case a breach requires remediation.
Staff estimated only a handful ("4 or 5") of the DPAs remain under active drafting with district staff and said those will be completed in coordination with the named staff members. The board had no vote on the DPAs during the discussion; staff described the work as administrative renewals and said they would continue processing and bring any items requiring board action back to a future meeting.
