Committee member (S3) said donations for the event were "about $2,500 more than last year" and listed new supporters including a $1,000 donation from Gladiator. After discussion, the board agreed to continue charging a $5 wristband for the mechanical bull ride and to sell wristbands through the concession stand to centralize receipts.
Food service planning featured detailed operational decisions. Committee member (S2) said ice delivery can be arranged at about $1.60 per 100-pound pack and described a plan to stage freezers and food prep in the snack-shack area. S2 confirmed menu pricing — "$6 for a single cheeseburger and $10 for a double" — and recommended ordering about 1,500 burgers with 200 extra as a buffer. Members discussed sourcing buns and cheese from a local bakery and Smith's and agreed to keep some purchases local when feasible.
Snow-cone stock was inventoried on the record: S5 reported full or near-full containers of tiger's blood and blue raspberry syrups and other flavors; members decided to prioritize restocking blue raspberry and tiger's blood based on demand. The board also discussed offering a pancake breakfast (possible $5 plate run by youth volunteers coordinated with the bishop) on July 3 at the pavilion as an optional fundraiser.
For the evening program, S2 said the dance would pause for fireworks, which are expected to occur between about 9:30 and 9:45 p.m.; an attendee has volunteered to sing the national anthem before the fireworks. Decorations and flags for the arena were discussed: Chair (S1) said the flags are at her house and recommended covering them the night before in case of rain and replacing faded street flags on a rotating basis.
The board agreed to continue communications by phone and text ahead of the event and to reconvene only if necessary; several members volunteered as site leads for food, parking and gates. Several operational follow-ups (vendor trailer placement, refrigeration access, grill propane supplies and volunteer rosters) were assigned for completion before the event.
The meeting moved on to other agenda items after confirming these plans.
