The Board of Selectmen approved a public gathering permit at a July 1 special meeting for the America’s 250th parade, authorizing the event on Route 10 and accepting the organizer’s certificate of liability insurance while directing staff to work with organizers to address waste and vendor spacing.
Chair (speaker 1) opened the short meeting at 12:02 p.m. and introduced the single agenda item: approval of the public gathering permit for the parade planned for July 11. Selectman (speaker 2) told the board that the town had received a certificate of liability insurance for the event: “We did get that, standard operating procedure, so we did check that box.”
Board members focused their discussion on event logistics after noting vendor shortages and long lines at recent town events. One participant recalled attendees waiting more than an hour for food at a Juneteenth celebration, and Selectman (speaker 3) warned that organizers should plan for adequate food-service capacity and refuse handling. “I just wanna make sure that... we have the appropriate... things in place to keep our town safe and beautiful,” the selectman said.
Members debated who should provide extra trash and recycling receptacles. The chair noted organizers are generally responsible for “proper collection, removal of all waste generated,” and staff offered to contact the parade committee and request additional receptacles near food trucks. Staff also agreed to ask organizers to spread the confirmed food trucks farther apart so lines are clearer and less congested.
Before the vote the chair noted there would be an offline discussion about the town’s parade float and other event details. The chair then moved to approve the public gathering application effective July 1, 2026, “with Mark confirming that there’ll be the standard receptacles… for the America’s 250th parade,” the motion said; the motion was seconded by Selectman (speaker 2) and carried with the ayes of the board members present.
The board adjourned after approving the permit and exchanged brief holiday well-wishes. Following the meeting record, a fundraising message from Simsbury Community Media played on the record asking for donations to sustain local programming.
What happens next: town staff will follow up with parade organizers to confirm the placement of additional trash and recycling receptacles near food vendors and to ensure vendors are spaced to limit long lines ahead of the July 11 event.
