Administrators briefed the board on an audit of the district’s food-service operations and recommended adopting written procurement procedures to address findings.
The presenter said the audit identified multiple documentation and procedural deficiencies in the district’s food-service procurement — including missing procurement policies for food service, incomplete advertising evidence for invitation-to-bid, and gaps in evidence retention for the required three- to five-year period. The presenter said staff submitted responses and that the auditor accepted the responses, but recommended the board approve formal procurement and conduct policies to close the findings.
On pricing and reimbursements, the presenter said the district participates in the Community Eligibility Provision (CEP) and does not charge student lunches. The district must set adult meal prices; staff said the adult prices were set at $2.45 for breakfast and $4.85 for lunch, and that USDA offered a maximum reimbursement of $74,163 tied to Healthy Universal School funding. "Because we're a 100% free in the CEP program, they offer us up to that amount," the presenter said.
Board President Jim Das asked for a motion to approve the $74,163 budget adjustment to accept the USDA reimbursement and "I'll make that motion," he said on the record. The transcript records the motion but does not include a roll-call vote or recorded tally.
Later in new business, staff described an LGRF award to cover roughly 75% of softball expenses and requested a resolution to accept $191,120. A board member moved to approve the resolution; again, the transcript records the motion being made but does not include a recorded vote during the meeting.
Board members and staff said staff would return with the formal policy language and any needed resolution or appropriation paperwork for board action, including required documentation to receive and spend grant funds.
