Quinton Township weighs new clerk server and website vendors ahead of March public-notice deadline

Quinton Township officials reviewed options to upgrade the clerk’s office server and website at a Jan. 21 work session as the township prepares to comply with a new public-notice requirement that takes effect March 1, 2026.
Acting Municipal Clerk Emily Thalwitzer and Municipal Finance Officer Diane Elwell presented a Dell PowerEdge T360 server quote for $5,335.89 and reported outreach to several website vendors, including Qrolic Technologies, Catalis, CivicPlus and Green Technology. Meetings with vendors and technicians were already scheduled in late January and early February to evaluate hosting and administrator access.
Solicitor Jacqueline Vigilante urged the committee to move quickly because "we have a March 1, 2026 deadline," and recommended that questions to vendors explicitly address hosting capability and whether the clerk can update public notices in real time. She also suggested staff explore available Department of Community Affairs grants to offset costs.
Thalwitzer said the clerk’s office had a scheduled consultation with BCS and would continue vendor demos, and Elwell noted a printer quote for township mailings had also been collected as staff examines cost-saving options.
No formal purchase or contract award was made at the work session; the committee directed staff to continue vendor checks, verify hosting and edit capabilities, pursue grant options, and report back with recommendations and costs for committee consideration ahead of the March deadline.
Next steps: staff will complete vendor evaluations and return to the committee with a recommendation; the township has not yet authorized any expenditure.
